Receptionist/Office Administrator (Corporate Office)

Reports to: Office Manager

DPT is currently seeking an experienced Receptionist/Office Administrator to work out of our Corporate Office. We are looking for someone who will project a professional impression in everything they do, from greeting guests to working with our executives and staff. This position reports to the Office Manager and is part of DPT’s Administrative team.

Responsibilities

  • Retrieving, sorting, opening and distributing all mail daily
  • Using postage meter to stamp all outgoing mail and taking outgoing mail to mailbox
  • Arranging, receiving and distributing all courier packages
  • Loading and unloading of dishwasher, keeping kitchen tidy and clean, including cleaning inside of microwave when needed
  • Monitoring kitchen supplies, communicating with vendors with regard to restocking kitchen supplies
  • Organizing, stamping and preparing a excel summary of all cheques received and emailing to Finance and Administration personnel, then delivering cheques to Finance
  • Using envelope stuffing machine to prepare all invoices for mailing
  • Receiving and forwarding all calls that come to the main switchboard to appropriate people within DPT
  • Frequently checking general voice mailbox and forwarding messages to appropriate people within DPT
  • Monitoring supply cabinet and reordering office supplies as required
  • Checking fax machine and distributing faxes as required
  • filing fax reports in binder
  • restocking paper supplies throughout the office
  • Updating all company contact lists and uploading to the company Intranet
  • Taking new employee pictures using digital camera and updating company employee board at Corporate Office and Production Facility
  • Receiving all authorized Office Supply Order Forms from employees and placing orders with vendors regularly
  • Receiving office supply orders, distributing supplies as necessary and refilling supply cabinet
  • Working with water delivery vendor for Grandview Highway
  • Facilitating all ordering of business cards, envelopes and letterhead for the DPT
  • Working with management company at Still Creek location with regard to any office related issues that may arise from time to time
  • Working with the future Office Administrator Assistant at Production Facility
  • Assisting the Office Manager with other related tasks that arise from time-to-time

Qualifications

  • Successfully completed at least Grade 12 education
  • Minimum 2-5 Years of Reception/Office Administration experience
  • Working knowledge of all Microsoft Office programs
  • Strong people and communication skills
  • Ability to be a positive, hardworking, self-starter, who thrives in a busy work environment
